Review billing information in Apple Business Essentials
After you set up a payment method, you can view your estimated bill, purchase history, and invoices.
Monthly billing information
Monthly billing information is sent to the email addresses for all administrators monthly. The billing information contains the following content:
Period: The billing period.
Date: The date of the receipt or credit.
Address: The billing address associated with the credit card used.
Organization ID: The ID of the organization that can be found with the primary location information.
Order ID: The unique ID for that specific order.
Document number: The unique ID for that specific document.
Plan and repair costs: These costs are also listed by plan and AppleCare repair.
Sales tax: The tax based on your state, county, and city.
If your organization is tax-exempt, you can adjust your tax status in Organization Settings in Preferences.
How the trial period works
When you set up your first Apple Business Essentials plan, your organization begins a 2-month free trial period. During the trial period, your organization can do everything it can do during a paid period—including adding or modifying plans, enrolling, and managing devices. If you have a plan that includes AppleCare+ for Business Essentials, the experience of creating or approving a repair, scheduling it, and tracking the progress are all included in the trial.
Note: Your organization can begin approving paid AppleCare repairs on June 15, 2022, or later.
Billing proration rules
Apple Business Essentials is a flexible subscription, allowing you to mix and match plans, as well as add, remove, or modify assignments of users and devices at any point during the month. In some cases, users or devices won’t be assigned for a full month, so your organization is charged an aggregate of all full month and partial month assignments across the organization:
Full month: If a plan is assigned for the entire month, the monthly rate is charged.
Partial month: If a plan is only assigned for part of a month, charges are pro-rated using a daily rate and your organization is charged for what is used.
The following table illustrates some examples. The daily rate for any plan is calculated by annualizing the monthly rate and using 365 days in a year. (Monthly rate*12/365).
Scenario | Charges | Example |
---|---|---|
5 users were assigned to an employee plan that allows up to 3 devices and 200 GB of iCloud storage for 1 month. | Your organization will be charged the monthly plan rate, plus applicable taxes, for the 5 users assigned for the full month. | Calculation: ($6.99*5) (Monthly rate*Number of users) Total: $34.95 plus applicable taxes |
One additional user was added to the same plan as above in the middle of the month, for a total of 10 days. | Full month Your organization will be charged the monthly plan rate, plus applicable taxes, for the 5 users assigned for the full month.
Partial month Your organization will also be charged the daily rate, plus applicable taxes, for each of the 10 days the additional users were assigned that month. | Full month Calculation: ($6.99*5) (Monthly rate*Number of users) Total: $34.95 plus applicable taxes Partial month Calculation: (($6.99*12)/365)*10 (Daily rate*number of days of assignment) Total: $37.25 plus applicable taxes |
Note: An assignment that is more than 2 hours is calculated as one day. In case of plan switch the lower plan’s rate is used for calculation of the daily rate.
Spending limit
With the flexibility of Apple Business Essentials, you can mix and match plans based on what’s best for your organization, and assign users and devices to plans as your business grows. You can continue to add plans, users, and devices, as long as your total estimated cost per month remains under $45,000, excluding taxes.
How billing dates are scheduled
Your monthly billing date begins when you first set up your subscription by assigning a plan to users, user groups, or devices. For example, if you assign an employee plan to a user group on April 21, that date is your monthly billing date and you’ll be billed and charged on the 21st of every month.
Example event | Example date |
---|---|
First plan setup | April 21, 2022 |
First trial month | April 21, 2022 through May 20, 2022 |
Second trial month | May 21, 2022 through June 20, 2022 |
First paid month | June 21, 2022 through July 20, 2022 |
First billing and charge | July 21, 2022 (day after last day of the previous month) |
Subsequent monthly billings | 21st of each month (August 21, September 21, and so on) |
Past due payments
If you have a payment that is past due, regardless of the reason (for example, the credit card amount was declined, or the credit card was reported lost or stolen), the following occurs:
All administrators receive an email reminder.
You’re unable to make additions to your subscription.
New repairs can’t be created or approved, even if credits are available.
Repairs already in progress are completed.
Important: If this issue isn’t resolved before the next billing period, your subscription will be canceled and any devices enrolled in Apple Business Essentials will be unenrolled and no longer managed.
For example, if on October 6 your payment fails, your account is considered past due on October 7.
If you have questions about your bill, see Get Support.
