
About Schoolwork class files and iCloud Drive
For each of your classes, Schoolwork automatically creates a class folder within the Schoolwork folder in iCloud Drive.
In the Files app
, tap Browse, tap iCloud Drive, then tap Schoolwork.
Schoolwork automatically organizes Handout files within your Schoolwork class folder in iCloud Drive. When you share a file in a Handout, Schoolwork automatically saves the file in a [handout name] folder within your Schoolwork class folder using the following format to name files: [family name given name - original filename.ext]. For example, if you share a PDF file, Fractions Worksheet, in the Adding Fractions Handout with a student in your Math class named Johnny Appleseed, Schoolwork names the file Appleseed Johnny - Fractions Worksheet.pdf. The file is stored in a folder with the same name as the Handout, Adding Fractions, within the Math folder in the Schoolwork folder.

In addition, every student and any other teacher receiving the Handout also see the Fractions Worksheet file in their Adding Fractions Handout folder in their Math class folder.
Sharing files
You can share a file with your entire class or one or more students in your class. If you share a file, photo, video, or scanned document activity, you can specify how to share the activity:
“Each student can edit their own file.” Schoolwork sends each student their own copy of the file. You work with each student in their own file.
When you share a file using “Each student can edit their own file” or when a student submits work to a Handout, Schoolwork saves the file in the student’s [handout name] folder within the student’s Schoolwork class folder, and saves a copy to your [handout name] folder. Schoolwork also saves a copy in the [handout name] folder for any other teacher receiving the Handout. Schoolwork names the files:
[family name given name - original filename.ext] (for a file you shared using “Each student can edit their own file”)
[family name given name - YYYYMMDD - activity name.ext] (for a file a student submitted to a Handout)
“Students collaborate together on the same file” (iWork file only). Schoolwork sends all students one copy of the file. You and the entire class work together in a single file.
“Only you can make changes.” Schoolwork sends all students one copy of the file. Students can view the file, but only you and other teachers can edit the file.
When you share:
A collaborative file in a Handout, you and your students can work in the same file at the same time. Depending on the file type, you can view and edit the file while your students are working in it, and add comments to provide real-time feedback and guide them along the way. Schoolwork supports collaboration for Pages, Numbers, and Keynote files.
When you share a collaborative file with each student in your class (“Each student can edit their own file”), Schoolwork saves one collaborative file in your iCloud Drive. The collaborative file is not saved in any student iCloud Drives.
A non-collaborative file, you and your students can work in the same file but not at the same time. For example, you can mark up a PDF file and your students can see your comments later.
When editing a shared file, confirm all your changes are saved. Schoolwork might overwrite changes if another teacher or student edits a file you shared with all students (“Students collaborate together on the same file”) at the same time you edit the file.
Note: You can share a file with up to 99 students. All students can open the file for editing at the same time.
Deleting files
Schoolwork doesn’t automatically delete files from iCloud Drive when you delete a Handout. Instead, Schoolwork allows you to decide when you want to remove your files. Be aware that when you remove a file in iCloud Drive, Schoolwork can’t access or recover the file.
If you remove an iCloud Drive file you shared with students, your students, and any other teachers contributing to the Handout, no longer have access to the file. To create a new shared file, do one of the following:
Edit the existing Handout, remove the previous file activity, then add the original file as a new activity so students and teachers can access the file again.
Create a new Handout, then add the original file so students and teachers can access the file again.
If students delete a Schoolwork file in iCloud Drive, they no longer have access to the file and Schoolwork removes them as collaborators. To add students as collaborators again:
For iWork documents: open the student’s copy of the file in your Schoolwork folder in iCloud Drive, tap Collaboration Details > Copy Link, then send the link to the student. When students tap the link, they can collaborate and access the file again in Schoolwork and the Schoolwork folder in iCloud Drive.
For non-iWork documents: press and hold the student’s copy of the file in your Schoolwork folder in iCloud Drive, tap Share > Show People > Share Options > Copy Link, then send the link to the student. When students tap the link, they can collaborate and access the file again in Schoolwork and the Schoolwork folder in iCloud Drive.
Note:
When students submit work in Schoolwork, Schoolwork automatically sends all class teachers a shared copy of the file.
Although Schoolwork doesn’t automatically delete files from iCloud Drive when you delete a Handout, Schoolwork does delete the files when you delete a class.
