Send a spreadsheet in Numbers on Mac
You can send a copy of a spreadsheet using AirDrop, Mail, Messages, or another service. You can send the copy as a Numbers spreadsheet or in another format—PDF, Microsoft Excel, CSV, and TSV.
Tip: Before you send a copy of your spreadsheet to a recipient, you can lock it to prevent anyone from modifying the copy or password-protect it to restrict access to the spreadsheet and provide extra security.
Send a copy of a spreadsheet in Numbers or another format
With the spreadsheet open, do one of the following:
macOS Ventura 13 or later: Click Share in the toolbar, then choose Send Copy.
macOS 12 or earlier: Choose File > Send a Copy(from the File menu at the top of your screen).
Choose a sending option.
AirDrop: Your recipient must accept the file to receive it.
Mail and Messages: A copy of the file is sent to your recipient directly.
Notes: A copy of the file is saved in your own Notes files.
If there’s a “Require password to open” checkbox, you can select it to limit access to the spreadsheet.
If you’ve already password-protected the spreadsheet: The copy you send uses the current password. To use a different password just for this copy, click Change Password. (The password for your spreadsheet won’t change.)
If you haven’t password-protected the spreadsheet: Enter and verify the password you want to use to protect this copy. The password applies only to the copy.
Click Next, then provide the requested information (an email address if you’re sending an email, for example).
If you aren’t signed in to your account for the method you chose, sign in before continuing.
You can also export a document in a different format before sending. See Export to other file formats in Numbers on Mac
To make it easier to send, post, or share the spreadsheet, you can reduce its file size.
