Export and open files in Pages, Numbers and Keynote on iPhone and iPad

To open a Pages, Numbers or Keynote file in Word, Excel or PowerPoint, export the file to the appropriate format using Pages, Numbers or Keynote. You can also open Word, Excel or PowerPoint files in Pages, Numbers or Keynote.

Pages, Numbers and Keynote also support a variety of other file formats

Export a file on iPhone or iPad

After you’ve exported the file, you can send the exported file with Mail, Messages, AirDrop or another available app, or save the file on your device or iCloud Drive. 

  1. Open the Pages, Numbers or Keynote file you want to export.
  2. Tap the document name in the toolbar. If you don't see the document name, tap the More button .
  3. Tap Export.
  4. Choose a format for your document:
    • To open a Pages document in Word, choose Word.
    • To open a Numbers spreadsheet in Excel, choose Excel.
    • To open a Keynote presentation in PowerPoint, choose PowerPoint.
    • You can also export to PDF and a variety of other file formats depending on the iWork app you’re using. 
  5. Select any additional options, then tap Export. If the Export Details window appears, which shows what may be different in the exported version of the file, tap Continue.
  6. Share or save the exported file:
    • Choose how you want to send your file, such as with Mail or Messages, then send the file. 
    • To save the file on your device or to iCloud Drive, choose Save to Files, then choose a location.

You can also export and send or save a file using the Share menu in the toolbar:

  1. Tap the Share button  in the toolbar, then tap Export and Send.
  2. Choose a format, choose any additional options for that format, then tap Export.
  3. Share or save the exported file:
    • Choose how you want to send your file, such as with Mail or Messages, then send the file. 
    • To save the file on your device or to iCloud Drive, choose Save to Files, then choose a location.

Open Word, Excel or PowerPoint files in Pages, Numbers or Keynote on iPhone or iPad

To open a Word, Excel or PowerPoint file in Pages, Numbers or Keynote on iPhone or iPad, tap the file in the document manager. If you don’t see the document manager, tap the Back button , then tap the file that you want to open. If a file is dimmed, it’s not in a compatible format.

You can also open a file in Pages, Numbers or Keynote from a different app, such as the Files app, or from an email:

  1. Open the other app, then select the document or attachment.
  2. Tap the Share button .
  3. Tap Copy to Pages. The original file will remain intact.

When the file opens, you may see a message stating that the document will look different. For example, Pages will notify you when fonts are missing. Tap Done to open the document in Pages.


Export and open files in Pages, Numbers and Keynote on Mac

To open a Pages, Numbers or Keynote file in Word, Excel or PowerPoint, export the file to the appropriate format using Pages, Numbers or Keynote. You can also open Word, Excel or PowerPoint files in Pages, Numbers or Keynote.

Export a file on Mac

After you’ve exported the file, you can send the exported file with Mail, Messages, AirDrop or another available app, or save the file on your Mac or iCloud Drive. Open the Pages, Numbers or Keynote file you want to export.

  1. Choose File > Export To, then select the format.
    • To open a Pages document in Word, choose Word.
    • To open a Numbers spreadsheet in Excel, choose Excel.
    • To open a Keynote presentation in PowerPoint, choose PowerPoint.
    • You can also export to PDF and a variety of other file formats depending on the iWork app you’re using. 
  2. Select any additional options.
  3. Share or save the exported file:
    • To share the file, click Send a Copy, then choose how you want to send your file, such as with Mail or Messages.
    • To save the file on your device or to iCloud Drive, click Save, then choose a location.

You can also export and send or save a file using the Share menu in the toolbar:

  1. Click Share in the toolbar, then click Export and Send.
  2. Choose a format, then choose any additional options for that format.

Open Word, Excel or PowerPoint files in Pages, Numbers or Keynote on Mac

You can open a file from the Finder or from the Pages, Numbers or Keynote app:

  • From the Finder, Control-click the file, choose Open With, then choose Pages, Numbers or Keynote.
  • From the Pages, Numbers or Keynote app, choose File > Open, select the file, then click Open. If a file is dimmed, it’s not a compatible format.

When the file opens, you may receive a message stating that the file will look different. For example, the app will notify you when fonts are missing. You may see also see warnings when you open documents created in older versions of the app.


Export and open files in Pages, Numbers or Keynote for iCloud

Pages for iCloud lets you open, edit and share your files from a supported browser on a Mac or PC. Check which file formats are compatible with Pages for iCloud. If you don't have an Apple device, find out how to create an Apple ID.

Export a file in Pages, Numbers or Keynote for iCloud

  1. Sign in to iCloud.com with your Apple ID.
  2. Choose the iWork app you want to open.
  3. In the document, spreadsheet or presentation manager, click the More button  on the file you want to export, then choose Download a Copy. If you have the document open, click the Tools button  in the toolbar, then choose Download a Copy.
  4. Choose a format for the document. The file will be downloaded to your browser’s default download location.

Open a file in Pages, Numbers or Keynote for iCloud

  1. Sign in to iCloud.com with your Apple ID.
  2. Choose the iWork app you want to open.
  3. Drag the file you want to open into the document, spreadsheet or presentation manager in your browser. Or click the Upload button , select the file, then click Upload. 
  4. Double-click the file.

1. If you need to export to Microsoft Office legacy file formats, such as DOC, XLS or PPT, you can export to the current XML format instead, then open the file in the equivalent Office app to export to the older format.
