Export and open files in Pages, Numbers, and Keynote on iPhone and iPad

To open a Pages, Numbers, or Keynote file in Word, Excel, or PowerPoint, export the file to the appropriate format using Pages, Numbers, or Keynote. You can also open Word, Excel, or PowerPoint files in Pages, Numbers, or Keynote.

Pages, Numbers, and Keynote also support a variety of other file formats

Export a file on iPhone or iPad

After you export the file, you can send the exported file with Mail, Messages, AirDrop, or another available app, or save the file on your device or iCloud Drive. 

  1. Open the Pages, Numbers, or Keynote file that you want to export.
  2. Tap the document name in the toolbar. If you don't see the document name, tap the More button .
  3. Tap Export.
  4. Choose a format for your document:
    • If you want to open a Pages document in Word, choose Word.
    • If you want to open a Numbers spreadsheet in Excel, choose Excel.
    • If you want to open a Keynote presentation in PowerPoint, choose PowerPoint.
    • You can also export to PDF and a variety of other file formats depending on the iWork app you're using. 
  5. Select any additional options, then tap Export. If the Export Details window appears, which shows what might be different in the exported version of the file, tap Continue.
  6. Share or save the exported file:
    • Choose how you want to send your file, like with Mail or Messages, then send the file. 
    • To save the file on your device or to iCloud Drive, choose Save to Files, then choose a location.

You can also export and send or save a file using the Share menu in the toolbar:

  1. Tap the Share button  in the toolbar, then tap Export and Send.
  2. Choose a format, choose any additional options for that format, then tap Export.
  3. Share or save the exported file:
    • Choose how you want to send your file, like with Mail or Messages, then send the file. 
    • To save the file on your device or to iCloud Drive, choose Save to Files, then choose a location.

Open Word, Excel, or PowerPoint files in Pages, Numbers, or Keynote on iPhone or iPad

To open a Word, Excel, or PowerPoint files in Pages, Numbers, or Keynote on iPhone or iPad, tap the file in the document manager. If you don’t see the document manager, tap the Back button ,then tap the file that you want to open. If a file is dimmed, it’s not in a compatible format.

You can also open a file in Pages, Numbers, or Keynote from a different app like the Files app, or from an email:

  1. Open the other app, then select the document or attachment.
  2. Tap the Share button .
  3. Tap Copy to Pages. The original file remains intact.

When the file opens, you might get a message that the document will look different. For example, Pages notifies you when fonts are missing. Tap Done to open the document in Pages.

To open a Pages, Numbers, or Keynote file in Word, Excel, or PowerPoint, export the file to the appropriate format using Pages, Numbers, or Keynote. You can also open Word, Excel, or PowerPoint files in Pages, Numbers, or Keynote,

Export a file on Mac

After you export the file, you can send the exported file with Mail, Messages, AirDrop, or another available app, or save the file on your Mac or iCloud Drive. Open the Pages, Numbers, or Keynote file that you want to export.

  1. Choose File > Export To, then select the format.
    • If you want to open a Pages document in Word, choose Word.
    • If you want to open a Numbers spreadsheet in Excel, choose Excel.
    • If you want to open a Keynote presentation in PowerPoint, choose PowerPoint.
    • You can also export to PDF and a variety of other file formats depending on the iWork app you're using. 
  2. Select any additional options.
  3. Share or save the exported file:
    • To share the file, click Send a Copy, then choose how you want to send your file, like with Mail or Messages.
    • To save the file on your device or to iCloud Drive, click Save, then choose a location.

You can also export and send or save a file using the Share menu in the toolbar:

Open Word, Excel, or PowerPoint files in Pages, Numbers, or Keynote on Mac

You can open a file from the Finder or from the Pages, Numbers, or Keynote app:

  • From the Finder, Control-click the file, choose Open With, then choose Pages, Numbers, or Keynote.
  • From the Pages, Numbers, or Keynote app, choose File > Open, select the file, then click Open. If a file is dimmed, it’s not a compatible format.

When the file opens, you might get a message that the file will look different. For example, the app notifies you when fonts are missing. You might see also see warnings when you open documents created in older versions of the app.


Export and open files in Pages, Numbers, or Keynote for iCloud

Pages for iCloud lets you open, edit, and share your files from a supported browser on a Mac or PC. Check which file formats are compatible with Pages for iCloud. If you don't have an Apple device, learn how to create an Apple ID.

Export a file in Pages, Numbers, or Keynote for iCloud

  1. Sign in to iCloud.com with your Apple ID.
  2. Choose the iWork app you want to open.
  3. In the document, spreadsheet, or presentation manager, click the More button  on the file you want to export, then choose Download a Copy. If you have the document open, click the Tools button  in the toolbar, then choose Download a Copy.
  4. Choose a format for the document. The file downloads to your browser’s default download location.

Open a file in Pages, Numbers, or Keynote for iCloud

  1. Sign in to iCloud.com with your Apple ID.
  2. Choose the iWork app you want to open.
  3. Drag the file that you want to open into the document, spreadsheet, or presentation manager in your browser. Or click the Upload button , select the file, then click Upload. 
  4. Double-click the file.

1. If you need to export to Microsoft Office legacy file formats like DOC, XLS, or PPT, you can export to the current XML format instead, then open the file in the equivalent Office app to export to the older format.
