Set up a calendar account in iCal

If your calendar account is hosted on a server (for example, through your workplace) or online (for example, through iCloud or Google), you can set up your account in iCal. If you have multiple calendar accounts, you can set them all up in iCal and then access them from one location. To get started, open iCal.

If your account also contains your email, contact, or IM information, you can set up everything at once, in one place: Mail, Contacts & Calendars preferences. If you set up your calendar account in Mail, Contacts & Calendars preferences, it is set up in iCal.

Set up a CalDAV account

If you were provided with a CalDAV account, for example, through your workplace, you can set up that account in iCal.

  1. Choose iCal > Preferences and click Accounts.
  2. To add a new account, click Add (+) in the lower-left corner.
  3. Enter the email address and password given to you by your server administrator, and then click Create.

    iCal finds any calendar accounts associated with the email address you provide.

Set up an Exchange account

If you were provided with an Exchange account, for example, through your workplace, you can set up that account in iCal. Your calendar account must be hosted on a Microsoft Exchange Server 2007 with Service Pack 1 or later.

  1. Choose iCal > Preferences and click Accounts.
  2. To add a new account, click Add (+) in the lower-left corner.
  3. Enter the email address and password given to you by your server administrator, and then click Create.

    iCal finds any calendar accounts associated with the email address you provide.

Set up an iCloud account

If you have an iCloud account and Mac OS X 10.7.2 or later, you can use iCal to access and manage your iCloud calendars. If you set up the iCloud Calendar service on several devices and computers, your iCloud calendar and reminder information is kept up to date on each device and computer.

In addition to setting up your iCloud calendar account in iCal or Mail, Contacts & Calendars preferences, you can also set up your account in iCloud preferences. (If you set up your calendar account in Mail, Contacts & Calendars preferences or iCloud preferences, it is set up in iCal.)

  1. In iCal, choose iCal > Preferences and click Accounts.
  2. To add a new account, click Add (+) in the lower-left corner.
  3. Enter your iCloud email address and password, and then click Create.

    iCal finds any calendar accounts associated with the email address you provide.

Set up a MobileMe account

If you’re a MobileMe subscriber, you can use iCal to access and manage your MobileMe calendars.

  1. Choose iCal > Preferences and click Accounts.
  2. To add a new account, click Add (+) in the lower-left corner.
  3. Enter your MobileMe email address and password, and then click Create.

    iCal finds any calendar accounts associated with the email address you provide.

Set up a Google or Yahoo! account

  1. Choose iCal > Preferences and click Accounts.
  2. To add a new account, click Add (+) in the lower-left corner.
  3. Enter your Google or Yahoo! email address and password, and then click Create.

    iCal finds any calendar accounts associated with the email address you provide.

Set your account preferences

Some calendar accounts allow you to specify how often your calendar information is updated or when you’re available.

  1. Choose iCal > Preferences and click Accounts.
  2. Select your account from the Accounts list.
  3. Set the account preferences.
    • To specify how often you want your computer to update the information it shares with the server, choose an option from the Refresh Calendars pop-up menu.

      If it’s available, Push is the recommended setting (your information is updated whenever you make a change), but you can, for example, choose “Every 5 minutes” to look for new invitations or update the calendar account every 5 minutes.

    • To set the general times that you want to be available for meetings and events, set the times in the Availability section.

      For example, if you work part-time and want coworkers to schedule meetings with you only on weekdays between the hours of noon and 5:00 p.m., select Weekdays and type the times in the adjacent fields. If your availability includes weekends or only some of the weekdays, select Custom, click Edit, and then make selections to set your availability.
