iCal 5.x: Publish or unpublish calendars and reminder lists

Publish or unpublish iCal calendars and reminder list

You can publish your iCal calendar or reminder list on the Internet (on MobileMe or a private WebDAV server) so that others can subscribe to it or view it in a web browser. At any time, you can stop publishing a calendar or reminder list without deleting it from your computer. (Reminder lists are available in Mac OS X version 10.7.2 or later.)

Publish a calendar or calendar group

  1. In iCal, click Calendars, and then select the calendar or calendar group you want to publish by clicking its name in the Calendars pop-up list.

    If you select a calendar group, all the event information from the calendars in the group is merged and published in one calendar.

  2. Choose Calendar > Publish.
  3. To change the name that others see when your calendar is published, type a new name in the “Publish calendar as” field.

    (This doesn’t change the name in your Calendars pop-up list.)

  4. Choose whether to publish your calendar on MobileMe or on a private web server from the “Publish on” pop-up menu. If you choose to publish on a private server, enter the web address for the server, and then enter the login name and password, if necessary.

  5. If you want changes that you make to your calendar to be automatically copied to the published version when you’re connected to the Internet, select “Publish changes automatically.”
  6. To control what information is published, select or deselect the other checkboxes, and then click Publish.

    A broadcast icon appears beside the published calendar in the Calendars pop-up list.

Your family and colleagues can use iCal to subscribe to your published calendars, or they can view the calendars on the web (at their web addresses). Published calendars are read-only; they can’t be changed by anyone who views them or subscribes to them. For more information about subscribing to calendars, see this help topic:

Publish a reminder list

  1. In iCal, click Reminders (below the search field in the iCal window).

    If you don’t see the Reminders pop-up list, choose View > Show Reminders.

  2. Hold down the Control key and click the name of the reminder list you want to publish.
  3. Choose Publish from the menu.
  4. To change the name that others see when your reminder list is published, type a new name in the “Publish calendar as” field.

    (This doesn’t change the name in your Reminders pop-up list.)

  5. Choose whether to publish your reminder list on MobileMe or on a private web server from the “Publish on” pop-up menu. If you choose to publish on a private server, enter the web address for the server, and then enter the login name and password, if necessary.

Send others your published calendar information

  1. In iCal, click Calendars, and then select the published calendar or calendar group by clicking its name in the Calendars pop-up list.

  2. Choose Calendar > Send Publish Email.

    The email includes information about where to view your calendar on the web and what URL to use to subscribe to your calendar.

  3. Send the email to the people whom you want to view your calendar.

Send others your published reminder list information

  1. In iCal, click Reminders (below the search field in the iCal window).

    If you don’t see the Reminders pop-up list, choose View > Show Reminders.

  2. Hold down the Control key and click the name of the published reminder list.

    Published reminder lists appear in the Reminders pop-up list with a broadcast icon next to them.

  3. Choose Send Publish Email from the menu.

    The email includes information about where to view your reminder list on the web and what URL to use to subscribe to your reminder list.

  4. Send the email to the people whom you want to view your reminder list.

Unpublish a calendar or reminder list

Unpublished calendars and reminder lists aren’t deleted from your computer.

  • To unpublish a calendar, click Calendars, select the calendar or calendar group you want to unpublish by clicking its name in the Calendars pop-up list, and then choose Calendar > Unpublish.

    Published calendars appear in the Calendars pop-up list with a broadcast icon next to them.

  • To unpublish a reminder list, click Reminders, hold down the Control key, click the name of the reminder list you want to unpublish, and then choose Unpublish.

    Published reminder lists appear in the Reminders pop-up list with a broadcast icon next to them. If you don’t see the Reminders pop-up list, choose View > Show Reminders.

After you unpublish a calendar or reminder list, new users won’t be able to subscribe to it. However, users who already subscribed to it see the last published copy until they delete it from iCal.
